How secure are my documents in Director Book Plus?

  • Your Director Book System and access to that system are completely secure for the following reasons:
    • All uploading and downloading of documents use 128 bit SSL encryption, the most secure commercially available encryption.
    • Your Users login with a username and password maintained by them.
    • All of your documents and other data is stored encrypted (128 bit) on the web site.
    • Only Users designated by you may use your system.
    • Users may see only those documents designated by you.
    • Various security aspects are addressed in the license agreement and have been reviewed by bank regulatory agencies. Particularly note paragraphs 4(d), 7 and paragraph 3 of Schedule A of the license agreement. Because of the nature of the service being providing and the automatic encryption of data, there does not appear to be a need for a SAS 70 audit.

What do I need to do to design my Director Book Plus system?

We design your initial customized system for you with your input. The process is as follows:

  • Step 1: We meet with the person who is currently assembling your Director Books. This is often the adminstrative assistant to the CEO. It is also useful to have a person who generates financial reports for the book at that meeting. This meeting usually takes no more than 2 hours. To save the time of your staff, it is useful to have available at that meeting:
    • A list of the names and email addresses of those people who will be providing documents for the book.
    • A list of the names and email addresses of those people who will be using the system.
    • A copy of the table of contents for a book assembled for a prior meeting.
    • If possible the items listed above should be available in electronic form -- word processing, spreadsheet, etc.
    • A director book assembled for a prior meeting. We do not need a copy of this book.
    Although we will discuss these matters at the initial meeting, to save additional time of your staff, your staff should consider:
    • What categories of Users will have access to your documents?
    • How should the documents be organized in the table of contents?
    • What naming convention for the documents will be easy for your staff to use?
  • Step 2: We design your system based on the information provided at the initial meeting. As we design your system, we will need some additional information adn will need to be able to communicate with those attending the initial meeting as questions arise. The design process usually takes no more than 2 weeks.
  • Step 3: After your system is designed we train the person who will administer your system in the following areas:

    • How to upload your documents to the system. The uploading may be done by one or more of your staff.
    • How to make changes in your system. Changes in your system may be made only by one person.
    • How to use the email system to notify your Users when documents are available.
    • How to view the logs to see who uploaded documents and when and who used the system to view documents and when.
    • The training process usually takes no more than 2 hours.

  • Step 4: You introduce your system to your directors. We will assist in training your directors as to how to use the system. This training process usually takes no more than 30 minutes.
  • Other Matters: We continue to be available to answer any questions your directors and/or staff may have. You will receive enhancements to the system when they become availble. Additional information is available in the manual which you can get by clicking here.
